Step 12. Create electronic 1099 file (2024)


Depending on the size of your organization, you may need to file electronically with the state and federal government.

How many information returns are you filing at your site?

  1. 9 information returns or less. Filing electronically is optional for your site. You can complete this step to file electronically, or you can skip to Step 14. Back Up Accounts Payable Data
  2. 10 information returns or more. Corporations who file 10 or more information returns for any calendar year must file electronically. You'll need to complete the instructions in this section. 


Does your state require you to file 1099s electronically?

If you're state requires you to file 1099s electronically, you'll need to set up the state information on the States tab in the Government Reporting Organization table (Government Reporting > Organization > Organization), and then add the state to the recipient. For assistance, submit a support ticket. To learn more, see also the help topics titled How do I add/delete a state?  




Before you get started

  1. Have you submitted Form 4419? You will need to submit Form 4419 (Application for Filing Information Returns Electronically) to request authorization to file electronically with the IRS. When you have been approved, the IRS will assign and send a Transmitter Control Code (TCC) to you. You should submit Form 4419 at least 45 days before the electronic filing due date to process the current year. 

  2. Have you purchased the Create Electronic 1099 File module? You will also need the Create Electronic 1099 File module to create the electronic 1099 file. If you cannot click on the link to open the Create Electronic 1099 File (Government Reporting), you may need to purchase it. [More]






Notes
I know we purchased the Create Electronic 1099 File module. Why can’t I click the Create Electronic 1099 File link? Try checking User Security to see if your user profile allows you to access the Create Electronic 1099 File module. You may need to work with your IS/IT administrator.




How do I set up the electronic file?

You need to set up the options to file electronically on the Federal tab in the Organization table. If you set up electronic filing in Step 8. Verify the 1099 Organization Information, you do not need to complete this step.  

Do this...
1. Open Connect Accounts Payable > Government Reporting > Organization.

2. Click the Federal tab.

3. Click the Electronic Filing subtab.

4. Fill in the section titled 1099 Contact Information on the Electronic Filing tab.

You do not need to fill in the rest of the fields on the Electronic Filing tab. Those fields are only required if you plan on filing W-2s electronically.



5. Click Close (CTRL+F12).

The 1099 contact information for filing electronically are saved. Continue to Step 12a. Select tax year and file path
