Step 18. Run Delete History (Optional) (2024)


This step is optional. Deleting history will delete all transactions entered and paid prior to the years of the history that will be kept.

How many years of history am I keeping? The number of years of history that will not be deleted from the database is stored in the Organization table. Go to Connect Accounts Payable > Organization > Organization to locate the Years of History to Keep field.

Do not continue without a backup.
  • It's important to have a backup of the Accounts Payable database before you delete history. If transactions that should not be deleted are deleted, you can use the backup to restore the transactions to the database. After you restore the database, contact customer support at (800) 243-8275.
  • To learn how to back up a database, see Step 14. Back Up Accounts Payable Data.

Do not continue until you have printed the Aging Report, Purchase Order Report for Open Purchase Orders, and Pending Requisition Status Report. See Steps 15 to 17.
  • You're going to use the reports that you printed as a visual snapshot of the Accounts Payable database as it existed before history was deleted. Then, you're going to compare those reports to the same reports that you will print afterward. If there are differences in the grand totals, you'll know that transactions that should not have been deleted need to be restored to the database.





Do this...
1. Open Connect Accounts Payable > Organization > Delete History.

2. Verify the 12/31/YYYY date in the Delete Records Dated On or Before box is the last year of history to remove from the database.

3. Click GO (CTRL+G).

4. When the Finished dialog box displays, click Yes.

The transaction history is deleted. The last step is to reprint the Aging, Open Purchase Order, and Pending Requisition Status reports and verify only the transactions that were supposed to be deleted were actually deleted. Continue to Step 18a. Reprint reports (steps 15-17).
