Step 18a. Reprint reports (steps 15-17)

Reprint the same reports that you printed in Steps 15 through 16. The purpose of printing these reports is to verify the data that remains in the database is the same as the data that was in the database before any history was deleted. Use the two sets of reports to find out if anything was deleted from the database that shouldn't have been deleted. 


First, reprint the aging, open purchase order, and pending requisition status reports

1. Set up the reports exactly as they were set up in steps 15, 16, and 17.

Step 17. Print a Pending Requisition Status Report

2. Compare the balances on the report that was printed before history was deleted with the report that was printed after history was deleted.

If the balances are not the same, transactions that should be in the database may have been deleted. If the balances are the same, you have finished the last step in the Accounts Payable Year-end Checklist.


Second, compare aging reports

Find out if the grand totals match on the Aging Report that was printed before history was deleted with the Aging Report that was printed after history was deleted.

Do both reports show the same ending balance?

  • Yes, both year-end Aging reports show the same ending balance. You’re good to go.

  • No, the ending balance is not the same. Call customer service at (800) 243-8275. They can help you find and correct the error. You may need to use the backup file to restore transactions.


Third, compare open purchase order reports

See if the open amounts match on the Open Purchase Order Report that was printed before history was deleted to the Open Purchase Order Report that was printed after history was deleted.

Do both reports show the same open amounts?

  • Yes, both Open Purchase Order reports show the same open amounts. You’re good to go.

  • No, the open amounts are not the same. Call customer service at (800) 243-8275. They can help you find and correct the error. You may need to restore the backup.


Fourth, compare pending requisition status reports

Check if the same requisition totals and balances show on the Pending Requisition Status Report that was printed before history was deleted with the Pending Requisition Status Report that was printed after history was deleted.

Do both reports show the same requisition totals?

  • Yes, both Year-end Requisition Status reports show the same requisition totals. You’re good to go. Continue to the next question.

  • No, the requisition totals are not the same. Call customer service at (800) 2432-8275. They can help you find and correct the error. You may need to use the backup file to restore transactions.

Do the balances match on each report?

  • Yes, the balances match on each report. You're done with this step. Continue to Step 19. Change current year.

  • No, the balances do not match. Do not continue until the balances match. A transaction was deleted that wasn't not supposed to be deleted. Call customer service for assistance at (800) 2432-8275.
