How do I add/remove a status?

You would add or remove a Status to maintain accurate case, warrant, payment, or scheduling status options within the court system. Adding statuses allows the court to track new workflow stages or case conditions, while removing outdated or unused statuses helps keep records organized and consistent. Courts use this process to improve case management, support reporting, and ensure users can accurately track the progress and condition of records throughout the system.

This table contains statuses that are may be assigned to cases. You can also create statuses for driver licenses and warrants to track their changes through the court proceedings.

Add a status

Create a new record for a status type.

Do this...

1. Open Connect Court Management > Organization > Statuses.

2. Click New (CTRL+N).

3. Fill in the options on the form.

4. Click Save (CTRL+S).

The new record is saved.

 

Change a status

Update the information on a status type.

Do this...

1. Open Connect Court Management > Organization > Statuses.

2. Use the Lookup bar to enter a status title. Press Enter.

3. Now, update the record properties.

4. Click Save (CTRL+S).

The status type is updated.

 

Delete a status

You cannot remove a status type when related transactions exist.

Do this...

1. Open Connect Court Management > Organization > Statuses.

2. Use the Lookup bar to enter a status title. Press Enter.

3. Click Delete (CTRL+D).

The status is deleted.

 

Options

Color

You can assign a different color to each status. For example, ACTIVE, SUSPENDED, WARRANT. The status will display in the assigned color when the case displays on the screen.

Do you want to assign the status to a color?

  • Yes, assign a color. Click . Click to select a color, or use the options on the form to define a custom color. Click OK.

  • No, do not assign a color. Skip this step. The default color is black.

Description

A description is a word or phrase that describes the character or features of the status.

What is the description?

Use the Description field to enter a word or phrase (30 characters or less).

Final status

A final status is an option that is selected on a case that indicates that this status is the last status to assign to a case that is ready to be closed. When the Final Status checkbox is selected and the case is closed, the system will not display warning messages in Inquiry or Enter Payments.

  • Yes, this is the final status. Click to select Final Status.

  • No, this is not the final status. Click to deselect Final Status.

Inquiry alert message

Use the Inquiry Alert Message to display a warning message on the Inquiry screen when a user looks up a case that is linked to the status.

Do you want to display an alert message in Inquiry?

  • Yes, display an alert message. Use the Inquiry Alert Message field to enter the text to display on the Inquiry screen.

  • No, do not display an alert message. Delete the text from the Inquiry Alert Message field.

Payment entry alert message

Use the Payment Alert Message to display a warning message when a you look up a case that is linked to a status. If the Court Management application uses Cash Receipting to receipt court payments, the alert message will also be displayed on the Enter Payments screen when you look up a court case number in Cash Receipting

Do you want to display an alert message in Enter Payments?

  • Yes, display an alert message. Use the Payment Entry Alert Message field to enter the text to display on the Enter Payments screen in Court Management and Cash Receipting. An alert message will only be displayed in Cash Receipting if the Cash Receipting application is set up to receive court payments.

  • No, do not display an alert message. Delete the text from the Payment Entry Alert Message field.

Status

The status is a unique title assigned to a record. This is the series of letters, word, or phrase that you will enter to select a status and apply it to a case.

What is the status title?

Use the Status field to enter a unique title that is up to 10 characters. Enter the status exactly as it will appear in the case.

Status type

Use status type to create a status for a case, driver license, or warrant. The status type determines which statuses will be listed in the Status drop-down list for a case, driver license, or warrant.

What do you want to do?

  • I want to assign this status to a case. Use the Status Type field to select Case.

  • I want to assign this status to a warrant. Use the Status Type field to select Warrant.

  • I want to assign this status to a driver license. Use the Status Type field to select Driver License.
