How do I add/remove leave rates from a pay code?

Assign leave rates to a pay code. The pay code will use the assigned leave rate to calculate the pay code. When you're done updating the leave rate on a pay code, you'll be prompted to apply the updated pay code to all employee pay codes that also use the updated pay code. The changes to the pay code will be applied to future transactions, they will not affect prior transactions.

 

Adding a leave rate to a pay code

1. Open Connect Payroll > Organization > Pay Codes.

2. Look up a pay code.

3. Click to select the Leave Rates tab.

4. Click Add a New Leave Rate.

5. Use the Search window to select a leave rate and then click OK.

The Search window displays the leave rates that have been set up and saved in the Leave Rates table (Organization > Leave Rates).

6. Set up the leave rate options.

7. Click Save (CTRL+S).

The leave rate is assigned to the pay code and the pay code is saved.

Removing a leave rate from a pay code

Removing a leave rate from a pay code will not delete the leave rate from the Leave Rates table.

Do this...

1. Open Connect Payroll > Organization > Pay Codes.

2. Use the Pay Code box to look up a pay code and then press Enter.

3. Click to select the Leave Rates tab.

4. Click to select the Leave Rate.

The leave rate is highlighted.

5. Click Remove the Selected Leave Rate.

Updating changes to employee pay code information

If you make changes to a leave rate on a pay code that's assigned to an employee, you'll be prompted to update the changes to the employee pay code. Applying changes to the employee pay code will update the employee pay code if the employee pay code has the pay code and the value in the Current Value matches the same value in the employee pay code.  

Will updating an employee pay code also update prior transactions that use it? No, updating an employee pay code will only apply the updated employee pay code to future transactions.

Example: In this scenario, Connect will update employees that have the pay code 3-00 Vacation Pay and the leave rate level on the employee pay code is "Vacation-Fixed Hrs - 0-1 yr". If an employee pay code is not assigned to the leave rate level "Vacation-Fixed Hrs - 0-1 yr", it will not be updated with the new pay code information.

What do you want to do?

  • To apply the updated pay code to the employee pay codes, select the checkbox.

  • To update the pay code without applying the updated pay code to the employee pay codes, deselect the checkbox. The pay code will revert to its previous setup.

When you are finished, click OK.

 

Setting up a leave pay code that allows payout payments

To set up a leave pay code that allows payout payments, set up the Allow Payout Payments checkbox on the Pay Code tab. To learn how, see How do I allow payout payments? (Pay Codes)

Leave rate

This is the leave rate description. This field is view only.

Leave level

Use the drop-down list to assign a leave level to the leave rate. To edit the leave level, see the help topic titled How do I add a leave level?

Percentage payout allowed

If the checkbox titled Allow Payout Payments is selected, you can set up the pay code to pay out a percentage from 0 to 100%.

Example: City XYZ sets up a pay code with the percentage payout allowed at 50% and the minimum leave hours at 4 leave hours. Joe has 5 leave hours. City XYZ will pay out 1 leave hour to Joe (Employee's Leave Hours - Minimum Leave Bank = Employee's Payout Leave Balance). Joe's hourly rate is $10 dollars per hour. So City XYZ pays $10 x 50% = $5 (Employee Rate x Percentage Payout Allowed = Payout Amount).

If the checkbox titled Allow Payout Payments is selected, you can set the minimum leave hours for payout. If the minimum leave hours are not available, the pay code cannot be paid out.

Example: City XYZ sets the minimum leave hours at 4. Joe has 5 leave hours. City XYZ will pay out 1 leave hour to Joe because the pay code requires a balance of 4 leave hours.
