How do I review leave pay codes? (Pay Codes)

Issue

The leave report is showing the wrong amounts. It says the error is on the leave pay code. How do I fix it?

Solution

If there is a pay code error on the Carryover Leave Hours report, you should review the leave pay code and leave rate. You will need to check the leave pay code to make sure it is set up correctly and it references the correct leave rate. And then, you should check the leave rate levels to make sure each level is set up with the correct options to calculate leave.

Reviewing leave pay codes in the Pay Codes table

1. Open Connect Payroll > Organization > Pay Codes.

2. Look up a leave pay code.

If you're not sure which pay code is causing the problem, the Carryover Leave Hours Report will list the pay codes that your organization is using to calculate leave.

3. Review the leave pay code settings.

The leave pay code will use the leave rate settings to calculate carryover amounts on the Carryover Leave Hours report. Make sure the settings are set up correctly on the leave rate, and then run the Carryover Leave Hours report again to see if the issue was resolved.

Check this information:

  • employee settings (Employee tab),

  • employer settings (Employer tab), and

  • leave rate settings (Leave Rates tab).

4. Review the leave rate settings in Connect Payroll > Organization > Leave Rates.

Verify the carryover hours for the carryover limit at each level of the leave rate. The carryover limit determines how many hours the employee can transfer to the new year.
