Revver migration - FAQs

If your organization uses Caselle's Document Management application and you wish to continue using Document Management to store files, you will need to make an appointment to migrate your files from the Document Management desktop application to the Revver web-based application by January 1, 2025

Important dates

  • December 31, 2024. Caselle and Revver stop service updates for the Document Management desktop application. 

  • January 1, 2025. Caselle and Revver will provided limited support for the Document Management desktop application. Revver web-based application will receive ongoing service updates and support. Users will be billed a $100 per month per user for each license for using Revver or Document Management. 





General

Who is Revver and what happened to Document Management? 

eFile Cabinet owns Revver and Document Management. As of April 11, 2023, our partner eFile Cabinet, updated the Document Management platform and rebranded the company. Now the company and the web-based application are called Revver ™ . 


What does this mean for me? 

With the brand change, the Document Management desktop application is being replaced with the Revver web-based application. This is great news because you will have better access to open and use your documents where you have internet access. The web-based application will retain the features and tools from the desktop application. 

Revver will retire the desktop application on December 31, 2024, which will

  • end support for the desktop application, and

  • increase the cost per user license to $100 per user per month to use the web-based application. 

To continue service, you will need to 

  • set up a new Revver account, and 

  • migrate your documents to the new web-based application. 



Migrating to Revver

Why should I migrate to the Revver web-based application? 

Migrating to the new web-based application provides several benefits over the current desktop application. Here's a summary of the key improvements: 

  • Browser-based access. You can manage documents from anywhere you have internet service. 

  • eSignature features. You can send unsigned documents and receive signed documents. 

  • Searchable text. All document content is search friendly, so you can quickly find your documents. 

  • Custom workflows. You can create a process to approve documents and collect information. 

  • Unlimited guest users. You can set up guest user accounts to allow secure and limited access to documents. 


What does migrating to the Revver web-based application mean to me?

It's time to make plans to move to the web-based application by January 1, 20205. It's a simple process and we will be there to help you every step of the way. At your earliest convenience, please fill out the Revver migration form to request an appointment to work with a migration specialist to move your files to the new Revver web-based application. 


How do I start the migration process?

To open the Revver migration form, scan the QR code or go to https://www.caselle.com/revver_migration You'll receive a call back to set up an appointment time as well as instructions on how to prepare your files to make the migration go smoothly.  


What should I expect when I start the migration process? 

Migrating to the new web-based application is a straightforward process. You will be assisted by a migration specialist who will use a migration tool to transfer all of your documents and settings to Revver. Here's an in-depth look at what you can expect.


1. Submit a Revver migration form to provide your contact information (~2 minutes)

By submitting this form, you will let us know that you are ready to begin the migration process. It is a short form that simply asks for your contact information. To open the Revver migration form, scan the QR code or go to https://www.caselle.com/revver_migration 


2. Premigration call with a migration specialist (~30 minutes)

Allow about thirty minutes. We'll confirm your Document Management settings and configuration, verify your server version, and give you an estimated for the time needed to complete the migration process. Your server administrator will need to attend this call, too. 


3. Complete any necessary work identified in the premigration call 

During the call with the migration specialist, you may be asked to complete some tasks before it's time to move the files to the new application. For example, you may be asked to update the Document Management server to the latest version. It's important to complete the requested tasks before the migration appointment to make the process run smoothly. 


4. Receive access to your new Revver account 

We will create your Revver account and your software administrator will be set up as the first user. 


5. Migrate files to the new application 

The time required to migrate files will depend on completing the tasks you have been asked to complete and the database size. Most organizations will be able to finish this step in a few hours. During this time, users should be logged out of the Document Management application. You may also want to stop the Document Management service to make sure documentats are not being accessed or viewed while files are moving to the new application. 


6. Map files to the new account (~30 minutes)

This step requires approximately thirty minutes. The migration specialist will use the configuration file from the old application to map the files that have been moved to the new application. This step means you and the Connect applications that reference documents will be able to find the files in the new application. The migration specialist will verify everything is working as expected. 

Note: If the database is larger than average, the migration specialist may choose to schedule a follow-up call to complete this step.


What happens if I don't migrate to Revver before January 1, 2025?

If you choose not to migrate to the Revver web-based application, you can continue using the old Document Management desktop application and you will be billed the new monthly licensing fee of $100 per license. (It's possible that your organization already pays $100 per user per month per license. Please reach out if you have any pricing-related questions.) Revver support for the Document Management desktop application will end December 31, 2024. 


Pricing

How will this affect pricing? 

Revver has changed the pricing structure for the web-based application. In 2024, the new pricing structure will be applied after you migrate to the new application. If you have not migrated to the new web-based application by January 1, 2025, you will be billed the new price even if you are still running the old Document Management desktop application. The new price is $100 per user per month. 


What if I'm already paying $100 per month per user? 

You don't need to contact Caselle. You are being billed the new price. If you have billing questions or you are uncertain about what you are paying or what you will be paying, contact support at (800) 228-9851 for assistance. 


Notifications

Why wasn't I notified sooner?

You should have received an email with the subject line Document Management, Action required on Jun 26, 2024. A letter was also mailed to the organization on June 24, 2024.

Document Management

What happens if I choose to continue using Document Management? 

If you choose to continue using the existing Document Management desktop application, you should understand that

  • service updates will cease on December 31, 2024, 

  • you will be billed $100 per user per month per license, and

  • you will be responsible for maintaining hardware for storing files.
