Step 9a. Verify 1099 recipients (2024)



Review the converted year-end tax data in the 1099 Recipients table. For each 1099 recipient, apply the following rules:
  1. The state is a 2-letter abbreviation. 
  2. The taxpayer ID number includes hyphens. 
  3. The address does NOT include a pound (#) sign.

How do I verify 1099 recipients?

This is the last time you will verify the information that will print on each 1099. You want to make sure the correct information displays in the correct box and the information is formatted for submission to the IRS.   

Do this...
1. Open Connect Accounts Payable > Government Reporting > 1099 Recipients.

2. Verify the information that displays on the General tab.
Make sure the correct information displays in each field and verify the spelling is correct.

Check the recipient's address.
When the 1099 tax information is converted, Connect will move the address from the Address 1 box in Accounts Payable to the Address 2 box in Government Reporting. The purpose of the move is to comply the with the IRS regulation that there is no gap between the address and city in the electronic 1099 file.



If the address includes an apartment or suite number, use the Address 1 box to enter the apartment or suite number. Do not include the pound (#) sign.



Check the recipient's state.
The state must be the approved 2-character abbreviation. See the approved Two-Letter State and Possession Abbreviations list list posted by USPS.



Check the Taxpayer ID Number.
The IRS requires hyphens in the taxpayer ID number. Social Security numbers are the tax identification numbers for individuals and the Social Security Administration (SSA) issues them in the format of XXX-XX-XXXX. Example: 555-55-5555

Employer tax ID numbers are also nine-digits long, but they are formatted as XX-XXXXXXX.




3. Check the recipient's 1099 information on the 1099 tabs.

Verify the correct amounts and options are selected for each 1099. You should check the information on each 1099 the recipient will receive.

What if I need to move a government payment? When you choose Government Payments as the 1099 type in the Accounts Payable application, the amount will be displayed in the Unemployment Compensation box for the 1099 recipient in the Government Reporting application. You will need to move the amount from the Unemployment Compensation box to the box that it belongs to in the 1099-Government Payments tab. [MP4




Check the recipient's states (if applicable).




Is the 1099 recipient's converted information correct?

  1. Yes, the 1099 recipient's converted information is correct. Click Move Next (F6) to verify the converted information for the next 1099 recipient. when you have verified the converted information for every 1099 recipient, continue to Step 9b. Run Checkout 1099 Recipients

  2. No, the 1099 recipient's converted information is NOT correct. There are two ways to fix errors on the recipient's converted information:

    1. Option 1: Update the recipient's information in Government Reporting > 1099 Recipients and Accounts Payable. If you use Option 1, you do not need to reconvert 1099 tax information. But you will need to update the information twice, once in Government Reporting and again in the Accounts Payable application. 

    2. Option 2: Update the 1099 recipient's information in Accounts Payable, and then reconvert the 1099 tax information. To learn more, return to Step 3a. Correct 1099 IDs and Types and Step 3b.
