How do I add variables?

You can use text and variables to format the subject line and body of an email template.

Adding variables to an email template allows the system to automatically insert specific information into emails when they are sent. Variables help personalize messages and reduce the need to manually enter the same information each time.

You might add variables to include details such as business names, account numbers, balances, due dates, filing periods, or contact information. Using variables helps improve accuracy, save time, and ensure emails contain consistent and relevant information for each recipient.

Email template variables list

  • Account Number {AccountNumber}

  • PIN {PIN}

  • Business Name {BusinessName}

  • System Date {SystemDate}

  • Tax Return Type {TaxReturnType}

  • Tax Return Period End Date {TaxReturnPeriodEndDate}

  • Tax Return Due Date {TaxReturnDueDate}

 

Example

Here's an example of an email template that Connect will use when the tax return is created followed by an example of what the email generated by Connect will look like.

 

Email Template - Return Created

Subject:
{TaxReturnType} - CREATED

Body:
Account Number: {AccountNumber}

{BusinessName},

This is a courtesy email to inform you that the tax return for {BusinessName} was filed on {TaxReturnPeriodEndDate} is now available for you to file.

If this information is not correct, please contact Jane at AnyCity, (555) 555-5555 for immediate assistance.

For example, AnyCity creates the tax return for AnyBusiness on August 17, 2015. Connect uses the email template for Return Created to send the following email to AnyBusiness. The variables are highlighted in yellow.

 

Subject:
SALES AND USE TAX - CREATED

Body:
Account Number: 1010

AnyBusiness,

This is a courtesy email to inform you that the tax return for AnyBusiness was filed on 08/17/2015.

If this information is not correct, please contact Jane at AnyCity, (555) 555-5555 for immediate assistance.

Adding a variable to a subject line

1. Open Connect Business Tax Collection > Organization > Organization.

2. Click to select the Email Templates tab.

3. Click to select an email template from the Type list.

4. Click to select the field titled Subject.

5. Click Modify.

The Subject form displays a list of variables that you can use in the subject line.

6. Find the variable name and then double-click the variable name that displays in the column titled Insert Value.


The variable displays in the Message area.

7. Now, enter the text to display in the Subject line.

8. Click before or after the variable to position the cursor in the Subject line.

9. Type in the text.

10. Click OK.

The subject line is saved.

 

Adding a variable to the email body

1. Open Connect Business License > Organization > Organization.

2. Click to select the Email Templates tab.

3. Click to select an email template from the Type list.

4. Click to select the field titled Body.

5. Click Modify.

The Subject form displays a list of variables that you can use in the body.

6. Find the variable name and then double-click the variable name that displays in the column titled Insert Value.

 

 

The variable displays in the Message area.

7. Now, enter the text to display in the body.

8. Click before or after the variable to position the cursor in the body.

9. Type in the text.

 

 

Text is highlighted in yellow and it will display exactly as it appears. The variables display between curly brackets { }.

10. Click OK.

The body is saved.
