How do I enter an employee's W-4 information? (Form W-4)

The IRS is releasing a new Form W-4 for 2020. You do not need to update Form W-4 for employees who were hired before 2020. The employee pay code has been updated to include the following fields to support the new 2020 Form W-4.

  • Dependents

  • Other dependents

  • Other income

  • Deductions

  • Additional withholding

Updating information on an employee's Form W-4

The employee's W-4 information is stored on the employee pay code in Setup New Employee or Modify Existing Employee. You need to edit the FWT pay code in the employee's file.

Do this...

1. Open Connect Payroll > Employees > Setup New Employee or Modify Existing Employees.

2. Click to select the Pay Codes tab.

3. Click to select the FWT pay code.

4. Click Toggle Pay Code Detail Display.

The FWT employee pay code detail displays in the pane on the right.

5. Add the employee's W-4 information.

Employee's tax information

 

Dependents

Enter the number of qualifying children under age 17.

 

Other dependents

Enter the number of other dependents.

 

Other income

If the employee wants tax withheld for other income they expect this year that won't have withholding, enter the amount of the other income here. This may include interest, dividends, and retirement income. The employee should not include income from any jobs.

 

Deductions

If the employee expects to claim deductions other than the standard deduction and wants to reduce their withholding, use the IRS Deductions Worksheet, and then enter the result.

 

Additional withholding

Enter any additional tax the employee wants withheld each pay period.

 

6. Click Save (CTRL+S).

The employee's W-4 information is saved on the FWT employee pay code.

 

Do I need to use one form for forms submitted before 2020 and another form forms submitted after 2019?
