State retirement report - Calculate limit using

 

It was included because Utah state retirement reporting needs a way to report amounts for public safety when there's a limit (cap) on the reporting amount. The Calculate limit using option will

  • support adding a salary limit (cap).

  • when amount is selected, display the pay code amount up to the calculated limit amount. 

  • when hours is selected, multiply hours by the employee's hourly rate to calculate limit total for the employee (in the Max Hours field for the pay code). 

 

 

The report and electronic file will 

  • show the pay code amount up to the calculated limit. 

  • show the employee hours up to the calculated limit. 

 

 

This feature is included in the 2025.08 release. To use this feature, download and install version 2025.08 or later. 

 


 

Step 1. Adding the Maximum Hours field to the Pay Code table

If you will be using a salary limit, add a user-defined number field to the pay code to record maximum hours. You will need to set up the maximum hours field before you set up the state retirement report. 

Do this...

1. Open Connect Payroll > Organization > Organization. 

2. Click to select the User-defined tab.

3. Click New  (use the toolbar on the User-defined tab).

4. Set up the following fields.

Table: Select Pay Code.

Name: Enter Max Hours.

Type: Select Number.

 

5. Click OK. 

 

Step 2. Entering the maximum hours allowed for the retirement pay code 

For the pay code using the salary limit, use the Max Hours field (the user-defined field that you just set up in step 1) to enter the maximum hours the pay code can use. 

Do this...

1. Open the Organization > Pay Codes.

2. Look up the retirement pay code. 

3. Click to select the User-defined tab. 

4. Enter the maximum hours allowed in the Max Hours field.

7. Click Save  (CTRL+S).

 

Step 3. Setting up the Calculate limit using option (in the state retirement report)

In the state retirement report, update the report column that uses the pay code (with the salary limit). 

Do this...

1. Navigate to the State Reporting tab > Set up tab (State Retirement Report). 

Important... Do not use a Caselle Master report definition. If you're using a Caselle Master report definition, save it as a new report and use it to set up the calculate limit option.

2. Select the field that reports retirement salary.

3. Click Edit .

4. Set up the validation options. 

Selecting the field and type tells the system what information you want to include in the report.

Select who the pay code will use: 

  • Employee. Use the employee's amounts, hours, or leave balance. 

  • Employee and employer. Use the employee and employer's amounts, hours, or leave balance. 

  • Employer. Use the employer's amounts, hours, or leave balance.  

 

 

Next, select what the pay code will use:

  • Amount. Use the pay code amount to calculate the limit total.

  • Hours. Use the pay code hours to calculate the limit total. 

  • Leave balance. Use the pay code leave balance to calculate the limit total. (Does not support the option to use a salary limit.)

 

 

Last, set up the rounding option:

  • Enter the number of places after the decimal point to round the amount/hours/leave balance. The default is 2 (for example: $250.987 → $250.99).  

 

5. Set up the Limits.

Use this section to define how to calculate the salary limit for the employee/employee and employer/employer. 

Click to select the Calculate limit using checkbox.

Select the limit type.

  • Limit. Use the hours on amount pay code to calculate the limit total (Limit Total = Employee Primary Hourly Rate x Hours). Selecting Hours will use the hours that are stored in the field as the limit total.

  • Max hours. Use the value from the Max Hours field on the pay code. This is the user-defined field that you added in step 1. Use Limit Type to identify what type of value the limit will be using: Amount or Hours. 

 

 

6. Click OK.

The changes are saved. When you select the field (Setup tab), the field properties (in the pane on the right) will show the settings selected for Limits.

Step 4. Save as a new report

Click Save  (CTRL+S) to save the report as a new report. 

 

 


Troubleshooting

Why can't I select the Calculate Limit Using checkbox?  

The calculate limit option only supports using employee, employer, or employee and employer amounts or hours. If the field is set up to use leave balance, you won't be able to set up the Limits section (Calculate limit using, Limit type).

Rules

  • If there are no numeric fields or the option to use employee/employer leave balance is selected, the Limits section is not available. 

  • The Calculate limit using checkbox must be selected to set up the Calculate limit using option and Limit type. 

  • Employee can use hours or amounts. 

  • Employer must match the value from the Use Employer Hours/Amounts/Leave Balance and the Calculate limit using hours/amounts will not be available. 

  • If the Use employee/employer hours/amounts/leave balance option is set to Hours, then the Calculate limit using amounts/hours is set to Hours and it will be disabled.
