How do I set up an action code for a service order?

Add an action code that you can assign to a service order. These action codes will appear in the Action Code list when you set up, modify, or delete service orders.


Setting up an action code for a service order

1. Open Connect Utility Management > Organization > Action Codes.

2. Click New (CTRL+N).

3. Set up the Action Code tab and Meter Activity tab.

4. When you're done, click the Service Orders tab and select the checkbox titled Allow This Action Code On Service Orders.

 

 

 

Linking a service order action code to a printed form

Tie and action code to a service order form. When you select the action code, Connect will print the service order form. If the action code includes sequences, you can assign a service order form to print the sequence detail. See the help topic titled What is a sequence detail?

Do this...

1. Click to select the Service Orders tab.

2. Use the Form menu to select a form definition that will print when the action code is selected.

 

 

3. Next, use the Sequence Detail Form menu to select a form definition for printing the service order detail.

 

 

Creating billings for a service order action code

Set up this option if the service order action code will create a billing a transaction. When the action code is assigned, the default service, amount, and description will display on the screen. You can edit the default values when you add the action code to a service order.

Do this...

1. Click to select the Service Orders tab.

2. Select the checkbox titled Allow Billings to be Created With This Action Code.

 

 

3. Select a Service.

This is the billed service.

4. Enter an Amount.

This is the default billed amount. You can adjust this amount when you create or modify a service order.

5. Enter a Description.

This is the default transaction description for the billing.

 

Assigning service order actions to departments

Select the departments that can use the action code. Only users assigned to the department will be able to select the action code.

Do this...

1. Click the Departments tab.

2. Click Select Departments.

 

 

A Selection form displays.

 

 

3. Move the departments that can use the action code to the Selected Departments list, and then click OK.

 

Adding fields to the Create Service Order form

Add additional fields to the Create Service Order form. When you select the action code to create a new service order, the additional fields will be displayed on the form. You can view or enter the values requested by the fields and Connect will save the values for the service order.

For example, you can add a field to enter a due date when you assign the Electric Check for Tampering. This is how the Create New Service Orders form looks before you assign the Electric Check for Tampering action code.

 

 

When you assign the Electric Check for Tampering action code, the form adds the Due Date field to the Create New Service Orders form.  

 

Do this...

1. Open Connect Utility Management > Organization > Action Codes.

2. Click to select the Service Orders tab.

3. Click to select the Create Actions tab.

4. Click Select Additional Fields.

 

 The Selection form is displayed.

 

5. Select the fields to add to the Create New Service Orders form.

Click on a field to select it, and then click the Select button to move the field to the Selected Additional Fields form. When you're done, click OK.

 

6. Set up the additional field properties.

 

A field that you cannot edit or modify is a display only field. When you see a display only field on an entry form, you will not be able to type in the field and the field background will not be white.

Require a Value

Do not save the new service order when this field is left blank.

 

7. Click Save (CTRL+S).

When you use the action code to create a new service order, the additional fields will be displayed on the Create New Service Orders form.

 

Adding fields to the Complete Service Order form

Add additional fields to the Complete Service Order form. When you select the action code to complete a service order, the additional fields will be displayed on the form. You can view or enter the values requested by the fields and Connect will save the values with the completed service order.

For example, you can add fields to enter a meter information when you complete a service order for Electric Install Reading. This is how the Complete Service Orders form looks with the additional fields, shown in the red box.

 

 

Do this...

1. Open Connect Utility Management > Organization > Action Codes.

2. Click to select the Service Orders tab.

3. Click to select the Complete Actions tab.

4. Click Select Additional Fields.

 

 The Selection form is displayed.

 

4. Select the fields to add to the Complete Service Orders form.

Click on a field to select it, and then click the Select button to move the field to the Selected Additional Fields form. When you're done, click OK.

 

5. Set up the additional field properties.

 

 Display Only


A field that you cannot edit or modify is a display only field. When you see a display only field on an entry form, you will not be able to type in the field and the field background will not be white.

Require a Value

Do not save the new service order when this field is left blank.

 

6. Click Save (CTRL+S).

When you use the action code to complete a service order, the additional fields will be displayed on the Complete Service Orders form.
