Monthly Checklist Basics

Like the Daily Checklist, the purpose of the Monthly Checklist is to help you remember to perform the tasks that only occur once a month. When you want to complete the Monthly Checklist is really whatever works best for you. Running the Monthly Checklist makes it easier to track down and fix minor errors.

Perform these tasks once a month.

 

Task  

Run Checkout.

1. Open Organization/Customers/Assemblies > Checkout. Use the Caselle default settings to run Checkout for all assemblies.

2. Review the Checkout report.

3. Correct the errors on the Checkout report. If instructed, run Recalculate to fix some of the errors. The remaining errors will need to be fixed by hand.

Review the Assembly Testing List.

1. Open Reports > Assembly Testing/List Notice. Set up the report to print a list for the notices that will be sent.

2. Verify the assemblies on the list. Are there any assemblies that should not be included on the list?

  • Yes, there are assemblies that should not be on the list. Remove them from the report setup and reprint the report. If you need to edit the assembly test results, use Assemblies > Modify Existing Test Results.

  • No, the list is correct. You're done.

Print assembly testing notices.

Do you need to print assembly testing notices this month?

  • Yes, I have testing notices to print. Open Reports > Assembly Testing List/Notices. Use the same report properties in Review the Assembly Testing List. Now, select the Print Testing Notices checkbox, include the options for testing notices, and make sure a testing notice is selected on the Forms tab. Tip! You can print all of the testing notices, for example, 1st, 2nd, 3rd, and so on, at the same time for multiple batches.  

  • No, I do not need to print testing notices this month. Continue to the next step.

Review the Assembly Install List.

1. Open Reports > Assembly Install List/Notices. Set up the report to print a list of assemblies that need to be tested since being installed.

2. Have you received a testing results for each newly installed assembly? Review the Assembly Install List to check for this information.

  • Yes, I have the testing results for each newly installed assembly. Continue to the next step.

  • No, one or more of the newly installed assemblies is missing a testing results. Use Assemblies > Enter Assembly Test Results to correct the problem.

  • No, one or more of the newly installed assemblies should not be included on the Install List. If you need to remove an assembly from the Assembly Installation List, use Assemblies > Modify Existing Assemblies.  

  • No, one or more of the assemblies is missing from the Install List. Use Assemblies > Enter Assembly Activity to install an assembly.  

3. Did you make any changes?

  • Yes, I made changes. If you made any changes, you'll need to reprint the Assembly Installation List and recheck it. Remember, you can always use Print Preview or Inquiry if you'd rather not reprint the entire report.

  • No, I did not make any changes. Continue to the next step.


Print assembly install notices.

Do you need to print assembly install notices this month?

  • Yes, I have install notices to print. Open Reports > Assembly Install List/Notices. Use the same report properties in Review Assembly Install List. Now, select the Print Install Notices checkbox, include the options for install notices, and make sure an install notice is selected on the Forms tab. Tip! You can print all of the install notices, for example, 1st, 2nd, 3rd, and so on, at the same time for multiple batches.  

  • No, I do not need to print install notices this month. Continue to the next step.

Review the Shutoff List.

1. Open Reports > Shutoff List/Notices. Set up the report to print a Shutoff  List.

2. Does the Shutoff List include any customers who should not be included on the list?

  • Yes, there are customers who should not be on the Shutoff List. A customer is included on the Shutoff List when the assembly has not been tested in a timely manner, according to the notification cycle. If the assembly has been tested, record the testing results in Assemblies > Enter Assembly Test Results.

  • No, the Shutoff List is correct. Continue to the next step.

Print shutoff notices.

Do you need to print shutoff notices this month?

  • Yes, I have install notices to print. Open Reports > Shutoff List/Notices. Use the same report properties in Review Shutoff List. Now, select the Print Install Notices checkbox, include the options for shutoff notices. Tip! You can print all of the shutoff notices, for example, 1st, 2nd, 3rd, and so on, at the same time for multiple batches.  

  • No, I do not need to print shutoff notices this month. Continue to the next step.

Print the Assembly Test Summary.

1. Open Reports > Assembly Test Summary. Set up the report for testing results and other activity that has occurred during the current month.

2. Review the testing results and other activity.

3. Is the report correct?

  • Yes, the report is correct. You're done. This is the last step in the Monthly Checklist.

  • No, the report is not correct. If you need to change an assembly test result, use Assembly > Modify Existing Assembly Test Results. Then, reprint the Assembly Test Summary.
