How do I import CrimeStar citations?

Import citations created by CrimeStar to use in the Court Management application. Because the CrimeStar import file layout is set up as an import file type, you won't have to map the fields in the import file to the fields in the Court Management application. 

You would import citations from CrimeStar to automatically transfer citation information from the law enforcement system into Court Management instead of entering the data manually. Importing citations helps bring in details such as defendants, offenses, vehicle information, officers, and citation charges quickly and accurately.

Courts use citation imports to save time, reduce data entry errors, improve processing efficiency, and ensure citation information is consistently entered and available for scheduling, case management, reporting, and financial processing.

 

Importing citations from CrimeStar

1. Open Connect Court Management > Cases > Import Citations. 

2. Set up the default options for importing citations. 

The default values allow you to determine the values that will be assigned to certain fields in the import file. For more information on how to set up the import values, see the help topic titled How do I change my default settings for importing citations?

 

3. Use the Import File Type menu to select CrimeStar XML.

NotesNote: The delimiter box is replaced with a root tag, which is the delimiter used by CrimeStar. And the CrimeStar XML does not include additional rows that may need to be skipped. 

 

4. Select the print output. 

When you import citations, you use 

  • Report Only. Only print a report that shows the citations that will be imported from the import file without importing any citations. This option may be helpful if you prefer to review how the citations will be imported.

  • Report. Print a report that shows the citations that will be imported AND create new cases for the citations included in the import file. 

  • No Report. Do not print a report. Only create new cases for the citations included in the import file. 

 

5. Review the import file fields. 

The values from the first citation in the import file will be displayed in the Import File Fields section. The citation will include the case, defendants, and offenses. There are three tabs in the middle of the view that let you view the case, defendants, and offenses.  

 

6. Click GO (CTRL+G). 

If you selected the option to print a report, the report will show the information that will be included for each case. 

If you selected the option to create new cases, a new case is created for each citations in the import file. You can use Modify Existing Cases to review the imported information and make any needed corrections.
