How do I set up information codes?

Add, edit, or remove an information code.

Use an information code to record additional information on a customer record or report, for example, on a Meter Reading List. You can choose to include or exclude the additional information stored in the information code when you print bills or reports, such as the Meter Activity Report.

Examples of information codes:

  • Reread meter

  • Check for tampering

  • Estimated reading

  • Locked gate - key in office

  • Mean dog

  • Meter leaking

  • Meter stopped

  • Reread meter
     

 

Adding an information code

Create a new record for an information code.

Do this...

1. Open Connect Utility Management > Organization > Information Code.

2. Click New (CTRL+N).

3. Enter an Information Code.

This is a number (0--32000).

4. Enter a Description.

This is the name assigned to the information code.

5. Enter an Abbreviation 1.

This is an abbreviated description (up to 10 characters). Use Abbreviation 1 to enter a label for the action code that is less than 10 characters. Example: Replace, Re-read, Broken

Field Name: Abbreviation 1
Example: Mean Dog
Character Limit: Up to 10 characters.


6. Enter an Abbreviation 2.

This is an abbreviated description (up to 3 characters). Use Abbreviation 2 to enter label that is less than 3 characters. Example: Rpl, Rrd, Brk

Field Name: Abbreviation 2
Example: Dog
Character Limit: Up to 6 characters.


7. Select a Report Option.

Use the options in Report Option to define when to include or exclude the information code.

What do you want to do?

  • I want to include the information code on reports and bills. Select All as the Report Option.

  • I want to include the information code on reports only. Select Reports as the Report Option.

  • I want to include the information code on bills only. Select Bill Print as the Report Option.

  • I do not want to include the information on reports and bills. Select None as the Report Option.


8. Click Save (CTRL+S).

The information code is saved.

 

Changing an information code

You can edit the properties assigned to the information code.

Do this...

1. Open Connect Utility Management > Organization > Information Code.

2. Use the Look up bar to enter an information code. Press Enter.

3. Now, edit the information code properties.

4. Click Save (CTRL+S).

The information code is updated.

 

Deleting an information code

You cannot delete an information code when related transactions exist.

Do this...

1. Open Connect Utility Management > Organization > Information Code.

2. Use the Look up bar to enter an information code. Press Enter.

3. Click Delete (CTRL+D).

The information code is deleted.
